In which countries is Evernote Business currently offered?

Evernote Business is available to users with a billing address in one of the following countries. If your country is not listed below, you can still join Evernote Business if you have a billing address in one of the supported countries listed. We will update this list as payment support is added for other countries.

What are Business Notebooks?

Evernote Business gives users access to an important new type of notebook — Business Notebooks. Any Evernote Business user can create Business Notebooks, and everything that is put into a Business Notebook becomes part of the company's Evernote Business account.

Can everyone in the business see all Business Notebooks?

No. Business Notebooks are private to the notebook creator by default, and can be shared with others inside and outside of the business. Business Notebooks can also be published to the Business Library. The company's Evernote Business Admin can also access, share, and publish any Business Notebook.

Are a user's Personal Notebooks accessible by other Evernote Business users or Admins?

Definitely not! Control and ownership of a user's Personal Notebooks and Personal Notes does not change in any way, nor are they connected to or accessible by any Evernote Business user or Admin.

What is the Business Library?

The Business Library is where members of a company's Evernote Business account can publish Business Notebooks to make them available to the entire business. In the Business Library, employees can browse and join any published Business Notebook that interests them. Some examples of what might be published to a Business Library include benefits information, educational material, or even information related to projects that multiple people are interested in following.

Any member of the business can publish a Business Notebook to the Business Library, as well as remove any Business Notebook they have published. The Business Library is accessible with the Evernote client for computers, smartphones and via the Web. As with any Joined Notebook, any Business Notebooks a user has joined will be synced to their Evernote account, making its content available everywhere they have Evernote installed.

What happens to a user's Business Notebooks if they leave the business?

Business Notebooks remain available to the company's Evernote Business Admin, as well as any Evernote Business users that the Business Notebook has been shared with, even after a user leaves the business or is removed from the business via the Admin Console. Evernote Business Admins can manage all of the Business Notebooks created by Evernote Business users in the Manage Notebooks tab of the Admin Console.

What happens to a user's Personal Notebooks if they leave the business?

Personal Notebooks stay with the individual user for life. If someone leaves a business account, they can continue to use their Personal Notebooks as before.

What is the monthly upload allowance for an Evernote Business account?

Every user that joins an Evernote Business account is automatically upgraded to Evernote Business Premium, which provides a monthly upload allowance of 2GB in their Personal Notebooks every month. The business quota — the amount of new material anyone in the business can put into Business Notebooks — is 2GB times the number of users, shared amongst everyone. For example, if a business has 10 users, the entire team may upload a total of 20GB of new content into Business Notebooks every month! As always, there is no limit on the total amount of data a user can store in Evernote.

When does the monthly upload allowance for my Evernote Business account reset?

At the start of every billing cycle the monthly upload allowance for every user joined to a company's Evernote Business account is reset, providing each with a fresh 2GB of upload quota for their Personal Notebooks. The monthly business quota for the company is also reset at the same time. The start of the billing cycle is determined based on the day that the company's Evernote Business account was first activated. What happens when I remove a Business Note from a Business Notebook?

When you remove a Business Note from a Business Notebook, either by deleting the note or moving it out of a Business Notebook into a Personal Notebook, the original Business Note is moved to the Business Trash. The Business Trash is similar to the trash for your Personal Notebooks but only a Evernote Business Admin can empty the Business Trash. If you accidentally delete a Business Note or change your mind, you can easily restore the it by opening the Business Trash and clicking the restore button.

What happens when I delete a Business Notebook?

Deleting a business notebook works similarly to deleting Business Notes. The Business Notebook is put into the Business Trash and can be restored if you need to. As with individual Business Notes, only an Evernote Business Admin can permanently delete a Business Notebook from the Business Trash.

FAQ for End Users

Joining Your Company's Evernote Business Account

Do I need to create a new account or can I keep my existing Evernote account?

While you may create a second Evernote account, we strongly recommend that users with an existing Evernote account use it to join their company's Evernote Business account. Doing so will ensure that you receive all the benefits of Evernote Business Premium, which includes an increased monthly upload allowance, access to Offline Notebooks, PDF search and more. All of your Personal Notebooks and Personal Notes will remain completely separate from your Business Notebooks and Business Notes. No one, not even your company's Evernote Business Admin, will have access to or control over any of your Personal Notebooks and notes, and you can keep them even if you later leave the business. Using your existing Evernote account is also more convenient, as you will not need to manually switch between two separate accounts.

How do I join my company's Evernote Business account?

When I tried to join, I received a message that the maximum number of users has been reached. What should I do next?

If the maximum number of users for your company's Evernote Business account has been reached, we will automatically notify the company's Evernote Business Admin that you attempted to join. Your Admin will contact you directly once the user limit has been increased.

What changes will I see when I join my company's Evernote Business account?

There are three primary changes that you will notice once you join your company's Evernote Business account. First, you will have the ability to create Business Notebooks, where you can save, organize and share everything related to your business. Second, you will be able to access your company's Business Library and all the Business Notebooks that have been published to it by other members of your business. Third, you will receive all of the benefits of Evernote Business Premium, which enables a number of great features for both personal and business use, including increased monthly upload allowance, access to Offline Notebooks, PDF search and more. Does anything happen to my Personal Notes and Personal Notebooks when I join my company's Evernote Business account?

Absolutely nothing about your Personal Notes or Personal Notebooks will change when you join your company's Evernote Business account. All of your personal data will remain completely intact and accessible in the same way it has always been.

What happens if I'm already paying for Evernote Premium and join an Evernote Business Account?

Good news! You'll get upgraded to Business Premium as part of the company account. If you've purchased a 1 year subscription for Evernote Premium from us and have more than a month of personal Premium service left, we'll send you a code that you can use to upgrade yourself back to Premium should you ever leave the business. You can also pass the code along to a family member, friend, or colleague.

Leaving Your Company's Evernote Business Account

How do I leave an Evernote Business account that I have joined?

What happens if I leave my company's Evernote Business account or my access is revoked?

If you leave your company's Evernote Business account, or if your access is revoked by your company's Evernote Business Admin, you will immediately lose access to any Business Notebooks you have created, as well as the company's Business Library and all of the Business Notebooks in it. Your Evernote account will also be automatically changed from an Evernote Business Premium account to a Free Evernote account. All of your Personal Notebooks and Personal Notes will be completely unaffected.

Working with Business Notebooks

How do I tell the difference between Business Notebooks and Personal Notebooks?

Business and Personal Notebooks are clearly marked so you always know which type you're using. The way this shows up varies depending on what platform you are using to access your Evernote Business account:

  • Mac, iPhone, iPad, and iPod Touch: Personal Notebooks will be brown and Business Notebooks will be gray in the Notebook List
  • Windows Desktop: Personal Notebooks will be marked by a green icon and Business Notebooks will be marked by a gray icon in the Sidebar
  • Web: Personal Notebooks and Business Notebooks will be listed beneath separate headers in the Sidebar

Can I share Business Notebooks and Business Notes with people outside the company?

Getting Started

How do I sign my company up for an Evernote Business account?

To sign up for an Evernote Business account, visit our Evernote Business homepage. If you would like to learn more about how Evernote can help your company capture, share and remember everything, leave us with some information and one of our Evernote Business Specialists will be happy to get in touch.

How do I add users to my company's Evernote Business account?

There are two options for adding new users to your Evernote Business account:

  • Approve by email domain — recommended

    This is the easiest and recommended approach if your company has a dedicated email address domain, such as @evernote.com. Simply turn this on during initial business creation or go to the Add Users tab of the Admin Console to enter your email domain. Users with a valid email address within that domain can simply visit the the Evernote Business homepage and enter their email address to join. You may also add multiple email domains to your auto-approval list, if necessary.

  • Invite users individually

    To invite users individually to join your company's Evernote Business account, go to the Add Users tab of the Admin Console, and enter their email addresses. To make the process easier, you may connect your Google address book (Google Apps or Gmail), which will give you access to your contacts. Once invited, users will receive an invitation to join your company's Evernote Business account via email.

Can I use my email address book to invite users?

Absolutely. To access your Gmail or Google Apps contacts, click the Gmail icon on the Add Users tab of the Admin Console. This will allow you to auto-fill email addresses when inviting your team members to join your company's Evernote Business account.

What if one of my company’s employees already has an Evernote account?

If an employee has an existing Evernote account, we strongly recommend that they use it to join the company's Evernote Business account. While it is possible for a user to create a second Evernote account just for use with Evernote Business, they will need to manually switch between each account. In addition, only one of the accounts will receive the benefits of Evernote Business Premium. Keep in mind that Personal Notebooks and Personal Notes in a user's Evernote account are not accessible to other Evernote Business users or the company's Evernote Business Admin.

How can I ensure that users who are not part of my business will not be able to join my company's Evernote Business account?

Only users that you invite via email, or who have an email address in a domain that you specify, are able to join your company’s Evernote Business account. You can also remove users at any time.

Managing Your Evernote Business Account

What is the Admin Console?

The Admin Console provides you with information and tools to help you administer your Evernote Business account. The Admin Console is accessible to all Evernote Business Admins in your business. From the Admin Console you can do any of the following:

  • Account Summary: See an overview of your account along with contact options for the Evernote Business Success Team.
  • Add Users: Set your auto-approval options for new users or invite users individually via email address.
  • Manage Users: View the list of all users in your business and their status. From here you can remove users from your Evernote Business account, revoke outstanding invitations, remind people of existing invitations, and promote other users to the role of Admin. All Evernote Business Admins have access to the same functionality, so choose who you would like to make an Admin carefully. There is no limit to the number of users that can be given the Admin role.
  • Manage Notebooks: From here you can manage all of the Business Notebooks created by users joined to your company's Evernote Business account. This includes the ability to export the contents of any Business Notebook, delete any Business Notebook, share any Business Notebook with someone else (for example, if a different employee takes over a project), or designate a Business Notebook as a Recommended Notebook in the Business Library.
  • Billing Information: From here you can view billing information and billing history for your company's Evernote Business account

What features do I have access to as an Admin?

Through the various tabs in the Admin Console you can manage existing users, invite new users, manage Business Notebooks, manage billing options, and view billing history for your company's Evernote Business account. How do I revoke a user's invitation or remind a user to join my company's Evernote Business account if they have not responded to my invitation?

From the Manage Users tab in the Admin Console you can revoke a user's invitation or re-invite a user you have previously invited to join your company's Evernote Business account.

Can I export data from a deactivated user’s account?

Yes. Any Business Notebooks that were created by the user will continue to be available to the business. These can be managed by the Evernote Business Admin via the Manage Notebooks tab of the Admin Console.

What support options are available?

Everyone who is part of a business gets priority service from a dedicated team within our support group to make sure you get the quickest resolution possible to any technical issues. In addition, Evernote Business admins have access to a dedicated Customer Success team. Our Success team can bring other folks at Evernote into the conversation as needed to help resolve any questions you might have, or just to help brainstorm how get the most from your Evernote Business purchase.

How do I get support for Evernote Business?

For technical support issues, use the support options found directly in our apps - these will be automatically routed and assigned to our dedicated Evernote Business support staff. On Mac and Windows, use the Technical Support item beneath the Help menu. On the web you can also use the "chat" option to chat real-time with an Evernote support specialist.

Business admins can get in touch with our Success team by going to the Admin Console via web browser. On the summary tab in the lower left you'll find your options for contacting the success team. All requests for assistance will be answered within 1 business day, and businesses with 10 or more members can request a phone call from the success team. These will also be answered within at most 1 business day. .

Payment Information

What payment options are available?

With a credit card payment plan, your card is charged at the beginning of each billing period for the number of users in your Evernote Business account.

With an invoice payment plan, you request an invoice for a set number of seats. Your invoice is due upon receipt and can be paid by check or wire transfer.

Are there any restrictions?

Credit Card payment plans are available for accounts of all sizes, in every country where Evernote Business is available.

In order to pay by invoice, your Business must have a minimum of 5 seats. Invoicing is available in certain countries only, including Australia, Austria, Belgium, Canada, Denmark, Estonia, Finland, Germany, Hong Kong, Iceland, Ireland, Japan, Liechtenstein, Luxembourg, Netherlands, New Zealand, Norway, Singapore, Sweden, Switzerland, Taiwan, United Kingdom, and United States.

How often will I be billed?

You can choose from a monthly or yearly billing period.

Invoicing is only available on a yearly billing period.

Can I start using my Evernote Business account right away?

As soon as you set up your Evernote Business account, your credit card will be charged for 1 user (the admin user who set up the account). You can start using Evernote Business right away.

Your invoice request is typically approved within 3 business days. During that time, you will not be able to access any Evernote Business features.

If your invoice request has been pre-approved by a business specialist, your business will be activated immediately. In some situations you may have the option to verify your address using your credit card in order to be activated immediately.

Will I be charged when I add users to my Evernote Business account? What happens if I add a new user in the middle of my billing period?

Your credit card will be charged when each user joins your Evernote Business account. The charge for each added user coterminates with the payment due date for your entire Evernote Business account.

If you have a monthly billing plan, your credit card will be charged the full one-month price on the day the new user joins your Evernote Business account, regardless of where that day falls in the monthly billing cycle.

If you have a yearly billing plan, you will be charged a pro-rated amount to the next higher month on the day the new user joins your Evernote Business account. For example, if you add a user with 9 and a half months to go in your billing cycle, the charge will be pro-rated to 10 months.

If you have chosen the annual invoice option, you can add users up to your seat limit with no additional charge.

To increase your seat limit, you can submit a request to the Evernote Business Success Team from the Account Summary page of the Admin Console. The Success Team will increase your seat limit and email you an invoice for the extra seats, typically within one business day.

The charge for each added user coterminates with the payment due date for your entire Evernote Business account. If you increase seats in the middle of the year, you will be billed a pro-rated amount to the next higher month. For example, if you add a user with 9 and a half months to go in your billing cycle, the invoice will be pro-rated to 10 months.

What happens when a user leaves my Evernote Business account?

The next time your subscription renews, you will not be charged for this user.

When a user leaves the business, one seat will be freed. You can invite someone else to take that seat in your business account. You will not be refunded for unused seats.

For billing purposes, what counts as a user?

You will be charged for each Evernote account that is joined to your business account.

You are not charged for outstanding invitations to join your Evernote Business account.

Each Evernote account that is joined to your business account will count against your seat limit.

Outstanding invitations to join your Evernote Business account also count against your seat limit, since each invitation is a reservation for one seat.

When will my subscription renew?

The day that you create your Evernote Business account becomes the first day of the billing cycle for your business. For example, if you create your Evernote Business account on September 10th and choose to pay monthly via credit card, then your credit card will be charged on the 10th of each subsequent month.
